Our main activity is the provision of courier services and postal services in general. In particular, but not limited to, the receipt, collection, classification, dispatch and delivery at home or abroad by any means of documents, letters, small parcels, parcels and other items of urgent or non-urgent transmission.

 In the context of its commercial activity and for the fulfillment of its statutory purposes and contractual obligations, our Company collects, keeps on file and processes your necessary personal data.

 The purpose of this policy is to provide you with information about how your personal data is collected and processed by our Company in the context of our contractual cooperation.

 A core principle of our Company is to respect the privacy of your personal data, which is why we are committed to protecting it and keeping it secure.

1. THE DATA WE COLLECT ABOUT YOU.

Personal data. What is Personal Data?

Personal data: any information relating to an identified or identifiable natural person (“data subject”); an identifiable natural person is one whose identity can be ascertained, directly or indirectly, in particular by reference to an identifier such as a name, to an identity number, to location data, to an online identifier or to one or more factors that characterize the physical, physiological, genetic, psychological, economic, cultural or social identity of the person concerned natural person. This includes information such as your real name, address, telephone number and date of birth. Information that is not directly linked to your true identity – such as your favorite websites or the number of users of an app – is not considered personal data.

Anonymous data is not included, i.e. where the identity of the individual has been removed (e.g. they have been encrypted or pseudonyms have been used).

In the context of our contractual cooperation (current or imminent) we may collect, use, store and transfer different categories of your personal data, which we have grouped as follows: 

  • Identity information includes, but is not limited to, first name, last name, username or similar identifier.
  • Contact information includes but is not limited to address, street, city, postcode, telephone number, mobile number and email address.
  • The financial data includes, for example, the TIN, iban.
  • Transaction data includes but is not limited to details of the services you have purchased from us.
  • Marketing and communications data includes but is not limited to your preferences for marketing actions from us and companies that provide us with support services for marketing and communications purposes and your communication preferences.

2. HOW YOUR PERSONAL DATA IS COLLECTED.

We use different methods to collect data from and about you, including:

a) Direct interactions. You may provide us with your Identity, Contact, Financial and Transaction Information by completing forms, by post, by telephone, electronically or otherwise.

This includes personal data you provide when:

  • Apply to buy / use our services.
  • You submit an interest in concluding an agency in the company's network
  • You are visiting our website.
  • Find your local agent.
  • Request a financial offer that will be sent to you.
  • Participate in a contest, promotion or survey. In addition, you have the option to consent to receive promotional e-mails about our services. The legal basis for this is your consent in accordance with Article 6 (1) (a) of the GDPR.
  • Send e-mail


b) Third parties or public sources. We may receive personal data about you from various third parties, including our network of agents and public sources, as set forth below:

  • Contact, financial and transaction details from our technical support and payment service providers.
  • Identity, contact, financial and transaction information from our agent network.

3. HOW WE USE YOUR PERSONAL DATA.

Your personal data is collected for the following purposes:

a) for the performance of the contract, for customer service and in general the fulfillment of all our contractual obligations (e.g. handling, receipt and delivery of shipments, tracking with the tracking system of shipments at each stage of their handling (SPETA ), management of compensation requests, invoicing, debt collection, etc.)

b) for customer satisfaction research, for statistical purposes and for the general improvement of our company and our relationship with you.

c) transmission to a cooperating insurance company for confirmation of insurance and coverage in the event of the occurrence of the insurance risk.

d) to fulfill all our legal obligations (indicatively, issuing documents, keeping them for audit by the competent tax agency, etc.) to respond to legal procedures/requests from competent authorities for the provision of information (indicatively, violations of existing legislation , criminal or other offences/violations etc.).

e) if you give your express consent, for the promotion of our products and services (newsletters, sms, etc.) and the conduct of market research. If you subscribe to any of the  our newsletters, we have the right to use your e-mail address for this purpose.

 The legal basis for this data processing is your consent in accordance with Art. 6 (1) (a) GDPR. You can unsubscribe from the newsletter at any time by clicking on the relevant link at the bottom of the newsletter. You can also withdraw consent at any time with effect for the future using the contact address provided. If you unsubscribe from e-mail communications or withdraw your consent, the corresponding data will be removed or blocked from the mailing list and will no longer be processed for these purposes.

The inclusion of your e-mail address in an exclusion list is carried out in order to ensure our legitimate interests in accordance with Art. 6 (1) (f) GDPR. Our legitimate interest lies in not sending you information via e-mail in the future.

4. DISCLOSURES OF YOUR PERSONAL DATA – INTERNATIONAL TRANSFER – THIRD PARTIES.

Your personal data for the purpose under items 3a) and in the context of the company's legal interest in the collection of its overdue claims, may be transmitted to a cooperating company for the collection of overdue claims. For the purpose under items 3b), they may be forwarded to companies that may provide us with supporting services for the relevant purpose. For the purpose under item 3c), they will be forwarded to the cooperating insurance company. 

For the purpose under items 3d), they may be forwarded to the respective competent Authority.

For the purpose under items 3e), if you give your consent, except for ASAP COURIERS M.A.E and to companies that provide it with support services for the above purpose, may also be forwarded to companies that provide them with support services for the above purpose.  

We will obtain your express consent before sharing your personal data with any third party for marketing purposes.

You can ask us or third parties to stop sending you marketing messages at any time by following the opt-out links in any marketing message sent to you.

In any case of disclosure or transmission of your personal data, we require all third parties to respect the security of your personal data, to observe the necessary technical and organizational security measures and to process them in accordance with the law. We do not allow our service providers to use your personal data for their own purposes and we only allow them to process your personal data for specified purposes and in accordance with our instructions.

Support service providers refer to service providers who provide IT and systems management services, professional advisors including lawyers, bankers, auditors and insurers who provide consulting, banking, legal, insurance and accounting services.

The personal data we collect from you may be transferred outside the European Economic Area (EEA).

They may also be processed by staff working outside the EEA who work for us or one of our suppliers or contractors. Territories outside the EEA may not have equivalent legal protection to those in the EEA, but we are obliged to ensure that suppliers and contractors outside the EEA continue to take all steps necessary to ensure that your data is treated securely and in accordance with this her Policy. In such cases, we will ensure that we take appropriate measures to ensure the transfer of your data (e.g.  binding corporate rules, standard contractual clauses).

5. HOW WE PROTECT YOUR PERSONAL DATA.

"ASAP COURIERS" takes the security of your data very seriously. We implement various strategies, controls, policies and measures to keep your data secure. We constantly and carefully check the security measures. We use measures such as firewalls, network intrusion systems and application monitoring. Where appropriate, we secure your data through pseudonymization and encryption techniques when storing and transferring your data. For example, your data is stored in a secure operating environment, which is not accessible to the public.

 In some cases, your personal data is encrypted with Secure Socket Layer (SSL) technology during transmission. This means that an approved encryption method is used for communication between your computer and the servers of "ASAP COURIERS", if the browser supports SSL. We ensure that there are strict physical access controls to our facilities and certified data centers.

 As part of our security strategy, we have established audit programs to ensure that our systems and services comply with the information security policy of "ASAP COURIERS" and by extension with the ISO 27001 standard.

We also take a number of ongoing measures to reduce risk, such as (among others) regular training of our employees and the organization of simulation exercises by the Cyber Defense Center.

The contents of the messages (e-mail) can be read by third parties. Therefore, we recommend that you send us confidential information only by post.

6. HOW LONG DO WE KEEP YOUR PERSONAL DATA.

Your personal data will be stored and used only for the specific purposes above and for the reasonable period of time required to fulfill the respective purpose. Whereas, where you have given your consent, until it is revoked by you.

To determine the appropriate personal data retention period, we consider the amount, nature and sensitivity of the personal data, the potential risk of harm from unauthorized use or disclosure of your personal data, the purposes for which we process your personal data and if we can achieve these purposes by other means within applicable legal requirements.

In some cases, we anonymize your personal data (so that it can no longer be associated with you) for research or statistical purposes, in which case we may use this information indefinitely without further notice to you.

We will retain your data for as long as necessary to fulfill our purposes, perform our contracts and comply with any legal obligation. The retention period may vary from country to country based on the applicable laws of each country. We constantly strive to minimize the data retention period where our purpose, law or contracts allow it.

7. YOUR RIGHTS

Your rights for the processing of your personal data, which you can exercise under the conditions set by EU Regulation (2016/679), depending on the purpose and legal basis of their processing, are as follows:

a) Request access to your personal data. This enables you to obtain a copy of the personal data we hold about you and to check that we are processing it lawfully.

Request the correction of the personal data we hold about you. This allows you to have any incomplete or inaccurate data we hold about you corrected, although we may need to verify the accuracy of new data you provide us.

Request the deletion of your personal data. This allows you to ask us to delete or remove personal data where there is no legal or contractual reason for us to continue processing it. You also have the right to request that we delete or remove your personal data where you have demonstrated your right to object to processing (see below) Please note, however, that we may not always be able to comply with your request for deletion for specific legal reasons that will be communicated to you, as the case may be, at the time of submitting your application.

Request restriction of the processing of your personal data. This enables you to ask us to suspend the processing of your personal data in the following scenarios:

1) If you want us to determine the accuracy of the data,

2) Where the use of the data is not lawful, but you do not want us to delete it,

3) Where you need us to retain the data, even if we no longer require it, if you need it to substantiate legal claims, or

4) You object to the use of your data, but we need to verify that we have legitimate reasons to use it.

a) Object to the processing of your personal data for direct marketing purposes. In some cases, we can demonstrate that we have compelling legitimate reasons to process your information that override your rights and freedoms.

b) Request the transfer of your personal data to you or to third parties. We will provide you or a third party you have chosen with your personal data in a structured, commonly used, machine-readable format. Please note that this right only applies to automated information that you originally provided to us with consent or where we used the information to perform a contract with you.

c) To withdraw your consent at any time, for the processing of your personal data where this was required. However, this will not affect the lawfulness of any processing carried out prior to the withdrawal of your consent. If you withdraw your consent, we may not be able to offer you certain products or services. We will advise you if this is the case at the time you request the withdrawal of your consent.

No fee is usually required to exercise your rights.

You will not have to pay any fees to access your personal data (or exercise any of your other rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we may refuse to comply with your request under these circumstances.

We may need to ask you for certain information to help us confirm your identity and ensure your right to access your personal data (or exercise any of your other rights).

 This is a security measure that ensures that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information about your request and to speed up our response.

 We try to respond to all legitimate requests within one month. Occasionally it may take us more than a month if your request is particularly complex. In this case, we will notify you accordingly.
